1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

We collect personal information you voluntarily provide when you register, express interest in our Services, or contact us. This includes: names, phone numbers, email addresses, job titles, usernames, passwords, contact/authentication data, GPS/location data, clock-in and clock-out timestamps, work hours and attendance records, device information, IP addresses, and third-party payment processor data (Stripe).

Sensitive Information. With your consent or as permitted by law, we may process: financial data, location data, employment information, and login/authentication data.

Payment Data. Payment instrument data is handled and stored by Stripe. We do not store raw card data.

Information automatically collected

We automatically collect log and usage data, device data, and location data when you access our Services. This includes IP address, browser type, device characteristics, operating system, and activity timestamps.

2. HOW DO WE PROCESS YOUR INFORMATION?

We process your information to: facilitate account creation and authentication; deliver our Services; respond to user inquiries; send administrative information; fulfill and manage your orders; enable user-to-user communications; request feedback; protect our Services from fraud; identify usage trends; and save or protect an individual's vital interest.

3. WHAT LEGAL BASES DO WE RELY ON?

We rely on Consent, Performance of a Contract, Legitimate Interests, Legal Obligations, and Vital Interests as legal bases for processing, depending on your jurisdiction (EU/UK GDPR, Canada, US state laws).

4. WHEN AND WITH WHOM DO WE SHARE YOUR INFORMATION?

We may share information in connection with Business Transfers, with Business Partners, and with Other Users (for features that allow user-to-user interaction). We have not sold or shared personal information with third parties for commercial purposes in the past 12 months and will not do so in the future.

5. DO WE USE COOKIES AND TRACKING TECHNOLOGIES?

We may use cookies and similar tracking technologies. We also use Google Analytics — you may opt out at https://tools.google.com/dlpage/gaoptout.

6. HOW LONG DO WE KEEP YOUR INFORMATION?

We keep your personal information for as long as you have an account with us, or as required by law. When no longer needed, we delete or anonymize your information.

7. HOW DO WE KEEP YOUR INFORMATION SAFE?

We implement appropriate technical and organizational security measures. However, no electronic transmission over the Internet is 100% secure. Access our Services only within a secure environment.

8. DO WE COLLECT INFORMATION FROM MINORS?

We do not knowingly collect data from or market to children under 18. If you believe we have collected data from a minor, contact us at [email protected].

9. WHAT ARE YOUR PRIVACY RIGHTS?

Depending on your location, you may have rights to access, correct, delete, or port your personal information, and to withdraw consent. Contact us at [email protected] to exercise these rights.

10. CONTROLS FOR DO-NOT-TRACK FEATURES

We do not currently respond to DNT browser signals as no uniform standard has been finalized. California law requires us to disclose this practice.

11. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

Residents of California, Colorado, Connecticut, Florida, Texas, and other covered states have rights including: right to know, access, correct, delete, and opt out of sale/sharing. To exercise these rights, email [email protected]. Appeals may be submitted to your state attorney general if denied.

Yes. We will update this notice as necessary. The updated version will show a revised date at the top. We encourage you to review this notice frequently.

15. GOOGLE GMAIL INTEGRATION

FieldGate offers an optional Gmail integration that allows managers to send and receive business emails (such as invoices and client communications) directly from their FieldGate account. This integration uses Google's OAuth 2.0 protocol — we never see or store your Google password.

What we access

When you connect your Gmail account, we request only the permissions needed to operate the integration:

  • Read emails: We read incoming emails in your Gmail inbox solely to display them within the FieldGate dashboard and to allow you to respond to client messages.
  • Send emails on your behalf: We send emails from your Gmail address when you initiate actions inside FieldGate (e.g., sending an invoice or replying to a client).

How we use Gmail data

Data accessed through the Gmail API is used exclusively to provide the in-app email feature you have enabled. We do not use Gmail data to serve advertising, build user profiles for sale, or share it with any third party except as required to operate the feature (e.g., the server processing your request). We do not sell, rent, transfer, or disclose Gmail data to any third party for any purpose other than providing and improving the FieldGate service.

Storage and retention

Email content fetched via Gmail is displayed in your session but is not permanently stored on our servers beyond what is necessary to render the FieldGate interface. OAuth tokens are stored securely and used only to authenticate requests on your behalf. You can revoke access at any time from your Google Account permissions page.

AI Processing (MAX Assistant)

FieldGate includes an AI assistant, "MAX," that can help you summarize, search, or draft replies to emails when you explicitly ask it to. When you use MAX for email-related tasks, the relevant email content is transmitted to our AI service provider, Anthropic (operators of the Claude API), solely to generate your requested response. Under Anthropic's commercial API terms, customer data is not used to train or improve their AI models. FieldGate does not retain AI-processed email content on our servers beyond the active session needed to display your result.

You can use the Gmail integration without invoking MAX; email content is only sent to Anthropic when you explicitly direct MAX to act on it (e.g., "summarize my latest thread with Johnson Plumbing").

Google API Services User Data Policy

FieldGate's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Gmail data for any purpose other than operating the FieldGate email feature at your explicit direction.
